How it works
FreeInvoicePDF is a form, a live preview, and a PDF download, all in this tab. You do not upload a spreadsheet or wait for a server to render a file.
- Enter both parties. From and To each take a name, email, phone, and address. Add an invoice number plus issue and due dates.
- Add line items. Each row is a description, quantity, and rate. Quantity times rate is the line total. Tax is a percentage applied after any discount. Discounts are a percent of the subtotal or a fixed amount that cannot exceed it. Notes are for payment terms, a bank reference, or Net 30.
- Choose how it looks. Classic, Modern, or Minimal. The preview and the PDF share that layout so you are not surprised after download. Attach a logo from a file on this device (read with the File API) or from an image URL your browser fetches itself. We do not proxy or store that image.
- Download. The editor lists gaps such as a missing client name or a due date before the issue date, and it warns if a character cannot be drawn with the PDF’s built-in fonts. Those checks never block you. Download Invoice builds a multi-page PDF with pdf-lib on your device. We do not email the file; you send it.
Refresh the page and this browser can offer the draft back from local storage. Discard or Start fresh deletes that draft. Your From details and logo stay on this device for the next invoice unless you clear saved business info. Load example fills sample data if you want to see the layout first and does not overwrite that saved identity.
Who it’s for
Independent designers, developers, writers, and other freelancers who bill per project or sprint and would rather not create an account to send one PDF. Consultants who combine a workshop fee with hourly follow-up. Small businesses that invoice a short list of products or SKUs with sales tax and an occasional discount. Contractors who split labor and materials, and photographers who bill a session, editing, and usage separately.
The form above can start blank or from a freelance, consultant, or small-business example. Skip this tool if you need accounts receivable, card payments, automatic reminders, recurring invoices, multi-currency books, or a hosted customer database. FreeInvoicePDF does none of that. It will not convert a contractor estimate into an invoice, collect a deposit, or keep your client list on our servers. Use it when the job is “fill this in and attach a PDF to an email tonight.”
Private PDFs, no account
There is no signup. Invoice and estimate contents are processed in the browser. The PDF is assembled here with pdf-lib; drafts use this browser’s local storage under separate keys so an estimate does not overwrite an invoice. From details and logo use a shared business profile on this device. A light or dark appearance choice is also stored locally. Clearing site data removes those drafts and the profile.
Tiny Utility Lab operates FreeInvoicePDF, and About explains who that is. We do not receive your line items, logos, or client addresses on our servers. Advertising is the only way the site makes money, so it shows labelled ads with no paywall. Advertising partners can set cookies when an ad loads, which is separate from your document. FreeInvoicePDF is a browser-only invoice and estimate PDF tool from Tiny Utility Lab. It is not accounting software.
- Is FreeInvoicePDF really free?
- Yes. Free forever and ad-supported. Use the invoice tool in your browser with no account, no paywall, and no daily quota. We may show labelled ads on the invoice page, the guides, and the invoice template landings (including contractor and photographer) so the site can stay free. Downloads are free: no charge per file, and no watermark on what you save. The contractor estimate page is free too and carries no ad units.
- Does my invoice data leave my browser?
- No. Your invoice or estimate, line items, notes, and logo are handled on your device. The PDF is built there as well, with pdf-lib. We do not run a server that receives your documents, and we never use what you type for advertising.
- Do I need an account?
- No. There are no sign-ups, logins, or customer records. Open the page, fill in the form, and download the PDF. There is no email gate before you download. A draft can stay in this browser’s local storage until you discard it or clear site data.
- Can I add a logo, tax, discount, and currency?
- Yes. Upload a logo or paste an image URL, choose a currency, add tax as a percentage, and apply a percent or fixed discount. Tax is applied after the discount, and a fixed discount cannot exceed the subtotal. If the client already paid a deposit or part of the bill, enter it in Amount already paid and the PDF shows it under Total with the balance due. Pick Classic, Modern, or Minimal. The live preview and the PDF use the same layout.
- Can I mark an invoice as paid?
- Yes. Under Amount already paid, tap Mark as paid. It fills in the invoice total, so the PDF shows Amount paid and a balance due of zero. Tap it again to clear it. Once nothing is owed, the preview and PDF also show a small PAID label. This only changes the PDF. Nothing records or tracks the payment. You can turn the label off with Show PAID label.
- Is my work saved if I close the tab?
- The document you are editing is saved to your own browser’s local storage, never to a server. Invoices and estimates use separate keys, so one does not overwrite the other. Your From details, logo, and preferred currency are kept on this device as a small business profile so the next document starts filled in. When you come back you are asked whether to restore the unfinished draft, and you can see roughly how old that draft is. Discard or Start fresh deletes the draft right away (Start fresh asks first), Start fresh keeps the profile, and Clear saved business info removes the profile. We cannot recover anything if you clear site data, because we never held a copy.
- What do I get in the PDF file?
- Real text, not a picture, so your client can select, search, and copy it, account number included. A long list of line items flows onto more pages instead of being cut off. The file uses the design you previewed, Classic, Modern, or Minimal. There is no watermark and no limit on how many you download.
- Which characters can the PDF show?
- The PDF uses the standard PDF fonts, which cover Latin and Western European characters. Accented letters, currency symbols like € and £, and most European alphabets work. Anything outside that range (Chinese, Japanese, Korean, Cyrillic, Greek, Arabic, Hebrew, or emoji) is flagged in the editor while you type and would print as a question mark. If a currency symbol can’t be drawn, the amount shows its three letter code instead, such as INR. Need another script? Tell us which one on the contact page. That is how we decide what to add next.
- Is this accounting or payment software?
- No. FreeInvoicePDF turns an invoice or estimate into a PDF. It does not email documents, collect payments, chase late invoices, track expenses, convert currencies, or store recurring billing. Mark as paid only fills in Amount already paid so the PDF shows a zero balance. It does not record or track the payment anywhere. Totals are whatever you typed, so check the PDF before you send it.
- Can I make a contractor estimate?
- Yes. The Estimate page creates a time-and-materials or fixed-project estimate PDF in the same way. It is labeled Estimate rather than Invoice, it stays on your device, and it shows no ad units.
- Who makes FreeInvoicePDF, and how is it paid for?
- FreeInvoicePDF is built and maintained by Tiny Utility Lab, a small independent shop that makes single-purpose browser tools. Advertising is the only way the site makes money: free forever and ad-supported, with no paywall, no upsell, and no affiliate links or sponsored recommendations in the guides. Ads are labelled and kept separate from the editorial text. The About page explains how the tool works and what it deliberately does not do, and the Contact page reaches a person.
