Worked example: one month of weekly cleans

  • Weekly house cleaning, Sep 3, 10, 17, 24: 4 visits at $140.00
  • Inside fridge, Sep 17: 1 at $35.00
  • Extra bedroom, Sep 24: 1 at $25.00
  • Cleaning supplies: 1 at $18.00

The math: 4 × $140.00 = $560.00, plus $35.00 + $25.00 + $18.00 = $78.00, for a total of $638.00 with no tax. These are example prices, not typical rates. Put in your own. The weekly line uses visit as its unit, so the PDF reads “4 visit” and the client can count the dates.

Per visit or one monthly invoice

A one-off clean or a new client can get an invoice after each visit. For weekly or every-other-week clients, one invoice a month is easier: one line for the visits, with the dates in the description and the number of visits as the quantity. Price the first deep clean on its own line

A first visit often takes much longer than the regular ones. Bill it as its own line on the first invoice, for example “First deep clean, Sep 3” at 1 each and the price you quoted. It is not in the $638.00 above. Keeping it separate means the weekly rate on every later invoice matches what you agreed.

Add-ons and supplies

Give each extra its own line with the date: inside fridge, inside oven, an extra room. Supplies are optional. Plenty of cleaners include them in the visit price, and if you charge for them, a separate line shows the client what they are paying for. Delete any add-on you didn’t do that month. Writing line item descriptions has more on wording that clients don’t question.

Terms and fees

The sample uses Net 14. Due on receipt suits per-visit invoices. A lockout or late cancellation fee belongs on the invoice only if it is in your service agreement first; then add it as a dated line. Payment terms explained has wording you can use in the notes.

How to finish it

  1. Click “Start with the cleaning template”.
  2. Change the names, visit dates, number of visits, and prices.
  3. Delete the add-ons you didn’t do, or add a First deep clean line.
  4. Download the PDF and send it.
  5. Next month, click Duplicate as new so the number goes up, then update the dates and add-ons.

Should I send an invoice per visit or one each month?
Either works. Per visit suits one-off jobs and new clients. For weekly clients, one monthly invoice with the visit dates in the line is easier for both of you.
How do I bill a first deep clean?
Add a separate line called First deep clean on the first invoice, at the price you quoted. Keep the regular visit line at your recurring rate so the client can see both.
Should I charge for supplies?
That’s up to you. Many cleaners include supplies in the visit price. If you charge for them, put them on their own line so the client can see it.
How should I list add-ons?
One line per add-on, with the date, like “Inside fridge, Sep 17”. Use a quantity of 1 and your add-on price. Delete any add-on you didn’t do.
Can I charge a lockout or late cancellation fee?
Only if it’s in your service agreement before the visit. If it is, add it as its own line with the date, like “Lockout fee, Sep 10”.
Do I charge sales tax on cleaning?
Some states tax cleaning services, so check your state’s rules. If tax doesn’t apply, leave it at 0%.
