Sessions, hours, and who pays

A tutoring invoice goes to whoever pays, usually a parent or guardian. The student’s name, subject, and lesson dates go in the line description. The sample bills one month of weekly lessons, one longer session, and a workbook. Babysitting instead? See the babysitting invoice template.

Worked example: one month of lessons

4 lessons of 60 min at $60.00/hr: 4 hr, $240.00
1 lesson of 90 min at $60.00/hr: 1.5 hr, $90.00
Practice workbook: 1 each, $18.00

The subtotal is $348.00 with no tax. The family paid $200.00 on Sep 1, so that goes in Amount already paid. The PDF shows Total $348.00, Amount paid $200.00, and Balance due $148.00. The notes say when the $200.00 came in, so nobody has to work out where it went.

Hourly, per lesson, or a package

Hourly: use the hr unit. Good when lesson lengths vary, since 45 minutes is just 0.75 hr.
Per lesson: use the each unit with a flat rate. Good for fixed 45 or 60 minute lessons.
Package: bill it up front as one line, for example “8 lessons, Algebra 1, 60 min each”, 8 each at $55.00 = $440.00. When it’s paid, click Mark as paid and send that copy as the family’s record. The paid invoice template shows what that copy looks like.

Cancellations and no-shows

If your policy charges for late cancellations, say so in the notes and add a line when it happens, for example “Late cancellation, Sep 18 (less than 24 hours notice)”. Only bill what the family agreed to in advance.

How to finish it

Click “Start with the tutoring template”.
Change the names, dates, hours, and rate.
If the family paid ahead, enter it in Amount already paid.
Pick Due on receipt or Net 7, then download the PDF.
Next month, click Duplicate as new so the number goes up, then update the dates, hours, and amount paid.
