What is usually wrong with a free invoice template
Search for one and you get a file to download: a word processor document, a spreadsheet, or a PDF you are somehow meant to fill in. Each of those has the same handful of problems, and they only show up once you are halfway through a real invoice.
- You do the arithmetic. A document template will not multiply eight hours by your rate, apply a discount, or work out the tax. A spreadsheet will, right up until you insert a row outside the range the formula covers.
- The layout breaks. Invoice templates are built out of tables. Type a description one word too long and the column widths jump, the totals slide onto a second page, and the careful design becomes a repair job.
- Fonts move. A document that looks right on your machine can reflow on the recipient’s if it uses a font they do not have, which is exactly why the file you send should be a PDF.
- You save over the original. Everyone has done it: open last month’s invoice, edit it, and save. Now you have one file, one invoice number, and no record of what you sent the first time.
- Sending an editable file is the wrong signal. A word processor document can be altered after it leaves you, and it reads as provisional rather than as a document asking to be paid.
What this is instead
A live template. The form on the home page is the template: sender and client details, invoice number, issue and due dates, as many line items as you need, tax, a percentage or fixed discount, notes, currency, and a logo. The preview updates as you type and the PDF is generated from the same layout, so what you download is what you were looking at.
Totals are calculated for you, in the order tax authorities expect: line totals make the subtotal, the discount comes off the subtotal, and tax is then charged on what is left. Add a line item and nothing has to be re-pointed at a new cell range.
Nothing is uploaded. The PDF is assembled in this browser, so the template needs no account and your client list never reaches a server. You can start blank, or load an example first to see the shape of a finished invoice.
Three designs, and when each suits
- Classic. A traditional serif layout with a formal table. The safe choice for accountants, agencies, and anyone who might print it.
- Modern. A bold header bar with an accent colour. Suits studios and consultancies whose clients expect the invoice to look designed.
- Minimal. Quiet type, thin rules, and plenty of space. Best when the invoice is long, because the layout stays readable across many line items.
You can switch between them at any point without retyping anything. The design choice affects the preview and the PDF identically.
Your details, filled in next time
The awkward part of any template is retyping your own name, address, and logo on every invoice. This tool keeps your sender details and logo in this browser as a small business profile, so the second invoice starts with your half already done and you only fill in the client and the work. It is stored on your device, never uploaded, and Privacy names the exact key. Clear saved business info removes it.
An unfinished invoice is kept the same way, so closing the tab by accident does not lose the work. The trade-off is real and worth stating: because nothing is on a server, clearing your browser data removes both, and we have no copy to restore.
Industry starting points
A blank template is the right start if you know what you are doing.
