What belongs on a contractor estimate

An estimate is read by someone deciding whether to hire you, and often compared side by side with two others. The fields above are the ones that make that comparison land in your favour, because a vague estimate reads as a risk even when the number is lower.

• Both parties, and the job address. Where the work happens is frequently not where the customer receives paperwork, so those are separate fields. On a rental or a site with access restrictions, the job address is the field that prevents a wasted visit.
• An estimate number and a valid-until date. The number gives the customer something to accept and you something to reference on the eventual invoice. The expiry protects you from a customer accepting a materials price you quoted five months ago.
• Labor, materials, and other, kept apart. Splitting the lines by kind shows the customer what is your time and what is pass-through cost. It also makes a variation easy to price later, because you can point at one line instead of reopening the total.
• Tax and deposit. Tax is calculated on the estimated total, and a deposit can be a percentage or a set amount. Both are shown on the PDF so the customer can see what they owe now and what they owe later.
• Notes, doing real work. This is where the assumptions go, and assumptions are what let you revise a number later without looking like you moved the goalposts.

Time and materials, or a fixed total

The choice at the top of the form is really a choice about who carries the risk of the job taking longer than expected.

Time and materials puts that risk on the customer, and is honest when nobody knows what is behind the wall yet. In this mode the labor lines carry your hourly rates and any hours you enter are a ballpark rather than a cap, which the PDF says explicitly. Materials can be billed as incurred, or as an allowance if you want to give the customer a number to plan around. The thing to get right is expectations: customers remember totals and forget the word estimate, so if there is a figure they must not be surprised by, write a not-to-exceed amount into the notes and treat anything above it as needing approval.

A fixed total puts the risk on you, and it wins work, because certainty is easy to say yes to. That makes the exclusions more important than the price. Name what is included, name what is not, and say what happens if the job turns out to be different from what you were shown.

Deposits and what happens next

A deposit does two jobs: it covers materials you have to buy before you start, and it confirms the customer is serious enough to commit money. A percentage suits large jobs, a set amount suits small ones where a percentage would be trivial. Say in the notes what the deposit is for, when the balance falls due, and whether it is refundable, because that is the question you will be asked if the job is cancelled.

When the work is done, the estimate does not turn into a request for payment on its own.
