Writing invoice line item descriptions
How to name each line so a stranger in finance can approve it: specific work, dates, and enough detail without writing a novel on the PDF.

The line description is the part of an invoice a stranger reads first. Your client may know what “Phase 2” means. Their bookkeeper does not. A good description lets someone match the PDF to a purchase order, a quote, or a delivery without asking you. Vague lines are a common reason invoices sit unpaid for a week that had nothing to do with cash flow.
What a useful description includes
- What you did or delivered, in plain words.
- A date, date range, or milestone name when that helps.
- A pointer to the quote, SOW, or ticket when one exists.
- Units that match how you priced (hours, days, seats, packages).
You do not need a paragraph. One clear sentence, or a short noun phrase plus a date, is enough for most freelance and small-business invoices.

Notice the stronger lines still fit on one row. Length is not the goal. Specificity is.
Match the billing model
Hourly lines should name the work and the period, then show hours as quantity and your rate as the rate. Fixed-fee lines usually use quantity 1 and the package price as the rate. One line or many
- Split when rates differ, when tax treatment differs, or when the client asked for itemised hours by task.
- Combine when the work is one package at one price and splitting would only create noise.
- Never hide expenses inside a services description. Pass-through costs belong on their own lines; see expense reimbursement on invoices.
PO numbers, ticket IDs, and quotes
If the client gave you a purchase order, put that number in the PO / reference field and, when it helps, in the line that matches it. Same for a quote ID. “As quoted Q-118” saves a round trip. Internal ticket numbers are optional; include them when the client’s ops team uses them to approve spend.
Examples by kind of work
- Freelance or consulting: “Product strategy workshop, 10 Sep 2026” or “Retainer hours, 1-30 Sep (support and backlog grooming)”.
- Contractors: split labor and materials. “On-site labor, kitchen remodel, 8-12 Sep” and “Cabinetry hardware (receipts attached)” beat a single “remodel progress” line. The contractor template starts with that split.
- Photographers: name the session date, deliverable, and usage. “Half-day product shoot, 4 Sep”, “Edited gallery, 40 selects”, and “Web usage license, 12 months” each earn their own line. See the photographer template.
If the same client sees you every month, keep the wording pattern stable so their AP team recognises the bill. Change the dates and quantities; do not invent a new nickname for the same service each time.
What to leave out of the description
- Long status reports (send those in the email or a separate doc).
- Apologies, jokes, or negotiation language.
- Bank details (those belong in payment notes, not every line).
- Tax lectures. Show tax in the totals area; the order of operations is in discounts, tax, and totals.
Common mistakes
- Copying last month’s description when the work changed.
- Using only an internal project code the client never saw.
- Writing “as discussed” with no date or topic.
- Stuffing three different rates into one line so the math cannot be checked.
Before you export the PDF
- Read each line as if you have never heard of the project.
- Check that quantity times rate equals the amount shown.
- Confirm the wording matches the commercial agreement.
